A foreign friend of yours plans to visit your place and stay with you, but you do not have time on that date. Give your friend another alternate date to come.
In your letter, you should:- apologise for it
- explain how you will be busy on that date
- suggest to him/her an alternate time to come.

Dear Ashley,
I hope this letter finds you in excellent health. I know you've made significant preparations to visit India and spend time with me, and I had promised to pick you up from the airport. However, I regret to inform you that I won’t be available throughout the month of July.
Just two days ago, my boss assigned me a critical project that must be completed by the end of July. He’s relying on me to lead a team of 20 people, and I have a tremendous amount of work to finish during that time. I’m truly sorry for any inconvenience this may cause.
That being said, I will be free after the project is over, and I’d be delighted to welcome you anytime in August. We can have a wonderful time together then. Please let me know if you're able to reschedule your trip for August.
